Press one if this is an emergency, press two for service, press three for everything else. You recorded that greeting in about four minutes the week the phone system went in, and you haven't thought about it since. Worth noticing what it actually does: on plenty of four-truck shops, all three of those options ring the same cell phone.
So when an AI receptionist turns up in every ad in your feed, the fair question is whether it's that same menu with a nicer voice on it.
It isn't. They do different jobs. An auto attendant, also called a phone tree or an IVR, sorts callers into buckets and hands them off. An AI receptionist has the conversation instead: it listens to what the caller actually says, asks what's wrong, qualifies the job, and books it. One is a switchboard. The other is a front desk.
The difference doesn't show up in how the greeting sounds. It shows up in what's on your calendar in the morning.
What is an auto attendant actually built to do?
It's a routing tool, and judged as one it's decent. A greeting plays, the caller picks an option, and the system connects that option to an extension, a ring group, or a mailbox. That's the entire job.
Some of them take a spoken word now instead of a digit, and the better ones do dial-by-name. That's a nicer surface on the same machine. It's still matching the caller against a fixed list you wrote in advance, rather than taking in a problem it hasn't heard before.
There's a real reason nearly every shop has one. A staffed front desk is a salary, and a salary buys you one person on one shift. Evenings, weekends and the lunch hour are a second hire and a third. A menu was the cheap way to sound organized without hiring anybody, and it usually came bundled with the phone system.
So the menu isn't a mistake. It's a switchboard doing switchboard work. The trouble starts when a shop quietly promotes it to the thing that answers the phone.
Who ends up doing the sorting, you or the caller?
A menu only works on a caller who already knows your business. Picking the right option means knowing which department owns their problem and what your shop calls it. You know that. They don't.
A homeowner whose furnace is making a noise she's never heard before doesn't know whether that's service or sales. The guy who bought a unit from you in March has no idea whether a rattle is warranty, service, or "the office." So he guesses, presses zero, or hangs up and tries the next company on the list, hoping somebody there just asks him what's going on.
A conversational system runs it the other way around. There's no menu to guess at. The caller says what's happening in plain words, and the follow-up questions come to them: what's it doing, how long has it been doing it, is there water on the floor right now, what's the address. The sorting still happens. It just stops being the customer's job to do it.
Where does every branch of that menu actually end?
Here's the part that gets missed. For the way a contractor uses one, a phone tree doesn't answer a call. It routes one, and then it's done.
Which means it's only ever as good as whatever is sitting at the other end of each branch, and that's the part worth going and checking rather than assuming.
Most trees do flip after six, because business-hours scheduling is a checkbox on any hosted phone system. Some shops never ticked it, and if that's yours, the menu is playing to a dark office at midnight and you already have your answer. Either way the real question is where the call lands. In a trades shop that's usually one of three places, and they fail in different ways.
It rings the on-call cell. It goes to the shop mailbox. Or it reaches a live answering service, which is a real person taking a real message, and which we compared head to head on its own terms separately.
The cell gets answered plenty of the time, and when it does, the system worked exactly as intended. When it doesn't, it rolls to that phone's personal voicemail, which is usually a bare beep with no company name on it, and that's where the odds change. The third one ends at a message too, just a politer one, taken by somebody who usually doesn't have your calendar or your service area in front of them, and has no way to tell a burst line from a price shopper.
That's the honest version of this comparison. The menu isn't what costs you the work. The empty branch behind it is. All the tree did was make the caller do a little labor on the way there.
What has to happen on a call before it turns into a job?
Sorting a caller isn't the work. The work is everything after somebody says hello.
Invoca's 2026 home services benchmarks put the share of calls answered by a person at 52%, and of the calls answered by a person, 38% are leads and 45% of those leads convert right there on the call. Those are benchmarks from across the industry rather than a measurement of your phone, so read them as the shape of the thing and not as your numbers. The shape is clear enough: the conversation is where the job gets decided, not the routing in front of it.
The same Invoca report found that 55% of home services businesses don't ask the lead to buy or book. That isn't a menu problem, and it's the more useful finding. That's what tends to happen when the person answering is also doing dispatch, payroll and the parts order. The ask is the first thing to fall off a busy desk.
Which is also where a lot of calls quietly go, and it isn't midnight. It's 10:40 on a Tuesday, while the one person in your office is on the other line with the supply house and the second call rings past her into the tree. So here's the gap in a sentence. An auto attendant is measured by how fast it gets the caller off its hands. A receptionist is measured by what ended up on the calendar.

A homeowner at 2am with water coming through a light fixture is in no mood for five options. She doesn't know whether her problem is water mitigation, emergency service, or the after-hours line, and she shouldn't have to. A menu asks a panicked person to diagnose herself and then file herself in the right drawer.
That particular call also has electricity in it, and that's the one thing nobody on a phone should be guessing about. If there's any question about power or gas, the utility and the fire department are the right call, not a restorer. What the restorer needs is everything else, captured while the caller is still on the line.
The stakes behind those calls are not small. Triple-I, using ISO data from Verisk, puts the average homeowners water damage and freezing claim at $13,954 across 2018 to 2022, and puts the odds at about one in 60 insured homes filing a claim of that kind in a year, on 2018 to 2020 frequency data.
That's the size of the loss behind the call, not the size of your invoice. Your slice is the mitigation. But it tells you what kind of night the person on the phone is having, and those calls land at night, land all at once during a freeze, and go to whoever picks up.

When is an auto attendant genuinely the right tool?
More often than a page like this usually admits, so here it is straight.
It's deterministic, and that matters more than it sounds. Press three, get billing, every time, in any accent, over a running compressor. A voice system can mishear a street name. A keypad can't.
It's cheap in a way a paid service isn't. Yours most likely came with the line, and it bills you nothing extra when February goes sideways, which is a real advantage and not a small one.
It screens bots for free, and it does it the crude way that happens to work: a recorded pitch isn't going to navigate a menu. That's a genuine advantage over picking up everything, and it's the reason to ask any vendor how automated and dead-air calls get screened, counted and billed. The other side deserves the same honesty. A voice system has a beat of dead air a keypad doesn't, and it can't invent an opening on a calendar that's already nine days out.
It also can't tell a caller what you charge to come out unless you've decided in advance what it's allowed to say. "What does it cost" comes up on a lot of these calls, so that's a decision worth making on purpose rather than discovering later.
